How NYC MSPs Get Recommended by ChatGPT and Google AI Overviews

More business owners now ask an AI assistant to recommend an IT provider before they call anyone. Here is how ChatGPT, Google AI Overviews, Perplexity and Copilot decide which managed service providers to name, and a practical checklist for New York MSPs and cybersecurity firms.

A dental practice in Queens loses its email for a morning. A small law firm in Midtown gets a phishing scare. The owner used to ask a friend for "a good IT guy." Today, many of them also type the question into ChatGPT, Google, or Copilot: "Who is a reliable managed IT provider for a small law firm in Manhattan?"

The answer they get is a short list of company names. If your MSP or cybersecurity firm is not on that list, you never get the call, and you never find out the prospect existed. This guide explains how those answers are put together and what a New York IT services firm can do about it.

Where AI Assistants Get Their Answers

Each assistant works a little differently, but they share one pattern: they search the web, read a handful of sources, and summarize what those sources agree on.

  • Google AI Overviews and AI Mode draw on Google's own search index, and for local questions they also lean on Google Business Profile listings.
  • ChatGPT search retrieves live web results through third-party search providers. Microsoft's Bing index is a major one, so a site that Bing has not indexed is at a disadvantage.
  • Microsoft Copilot is built on Bing search and Bing Places.
  • Perplexity runs its own crawler and shows its sources openly, often including review sites, directories and community discussions.

The practical takeaway: an AI assistant can only recommend you if it can find you (you are indexed), understand you (your site states clearly what you do, where and for whom), and trust you (other sources confirm the same facts).

Step 1: Make Sure You Can Be Found

This is the unglamorous part, and it is where many MSP sites quietly fail.

  • Verify the site in both Google Search Console and Bing Webmaster Tools. Many firms set up Google years ago and never touched Bing, which leaves ChatGPT and Copilot with less to work with.
  • Check that your firewall or CDN is not blocking AI crawlers. Security-minded firms often run strict bot protection on their own website. That is sensible, but make sure it does not block legitimate crawlers such as Googlebot, Bingbot, OAI-SearchBot, PerplexityBot or Claude-SearchBot.
  • Keep your sitemap current and use IndexNow to tell Bing when pages change.

Step 2: Write Pages an AI Can Understand

Most MSP websites describe services in general terms: "proactive IT support," "peace of mind," "enterprise-grade security." An AI assistant cannot match those phrases to a specific question. It needs facts.

  • One page per core service: managed IT, help desk, cloud migration, Microsoft 365, backup and disaster recovery, managed security, compliance support.
  • One page per industry you actually serve, such as law firms, medical and dental practices, accounting firms or nonprofits. Say what is different about IT for that industry.
  • State your service area plainly: the boroughs and neighborhoods you cover, and whether you offer on-site support.
  • Answer real questions in an FAQ: response times, onboarding steps, contract length, what happens after hours. Add FAQPage and Service structured data so the answers are machine-readable.

Step 3: Show Trust Signals Honestly

IT and security buyers are skeptical, and AI summaries repeat what your site says. Inflated claims hurt you twice: once in due diligence, and again when an assistant repeats them.

  • List only certifications and partner tiers you actually hold, and link to verification pages where they exist.
  • Be precise about compliance. If you help clients work toward SOC 2, HIPAA or NYDFS 23 NYCRR 500, say "we support" or "we help clients align with." Do not say "certified" unless the certification is yours.
  • Name your people. A team page with real names, roles and credentials is a strong trust signal for both buyers and search engines.
  • Publish real case studies, anonymized if needed, with the client's industry, the problem and what you did. Never invent numbers.

Step 4: Get Mentioned Where AI Looks

AI assistants are more confident recommending a firm when several independent sources say the same thing about it. For an MSP in New York, the most useful places are:

  • Google Business Profile with accurate categories, service areas and recent client reviews
  • Bing Places and Apple Business Connect
  • B2B review platforms such as Clutch, with verified client reviews
  • Vendor partner directories from the platforms you work with
  • Local chambers of commerce and industry associations

The key is consistency. Your company name, address, phone number and description should match everywhere. Small differences make it harder for an AI system to be sure the listings all describe the same business.

Step 5: The Bilingual Opportunity in New York

New York has a large community of Chinese-speaking business owners in Flushing, Manhattan's Chinatown and Sunset Park. Note who is named and which sources are cited. Repeat the same questions every month. No one can guarantee a specific AI recommendation, but you can see whether your visibility is improving and which sources the assistants trust.
